Do this when:
- Cross-check for room availabilities (related to RB's Room Allocation system)
- When we receive an enquiry asking for availabilities (esp. during Peak Season)
Recently we have noticed an increase in the amount of TEST bookings made in Roomboss. One such example is attached below:
While conducting TEST bookings is essential for understanding and refining our booking process, as well as ensuring the smooth functioning of our systems, it is important to acknowledge that these TEST bookings also impact several other departments within our organization.
Below are some issues (not all) related to test bookings:
- Test bookings still have booking values and sometimes invoices, which affects overall accounting
- They consume valuable inventory which should be for our guests and customers
- Housekeeping schedules are automatically made for all bookings, whose time is extremely valuable and appreciated.
While I do not discourage the creation of TEST bookings, I would like to propose a few policies to help identify and manage them effectively:
- Notes Section: When creating a TEST booking, please ensure that the notes section clearly states that it is intentionally a TEST booking initiated by our team.
Additionally, include the name and signature of the creator. - Financial Impact: To prevent TEST bookings from affecting our accounting records, it is crucial to zero out the Gross and Sell values.
Furthermore, any associated invoices should be promptly deleted.
- Cancellation and follow-up: It is important to keep track of the test bookings made and ensure they are cancelled once your testing is complete.
