Manual booking of Travel Hokkaido go HERE
We receive booking request on email as shown on the image below
Click the booking URL: Access booking in Roomboss
Check the following order details:
1. Date - check if booking is aligned with stay dates
2. Item- this will show the route of the transfer
3. Details: Vehicle type- capacity should match the # of guest
Arrival flight No. & time- check the flight details on this website: https://www.flightview.com/TravelTools/default.asp (Make sure that the flight arrival time matches with the arrival time submitted by guest, otherwise edit the details and update the arrival time)
STEP 1: SEND EMAIL CONFIRMATION TO GUEST IF THEY WOULD LIKE TO PROCEED WITH THE BOOKING WE RECEIVED (EMAIL TEMPLATE LOCATION WILL BE UPDATED)
used CANNED RESPONSE: Invoice - Guest Service for confirmation
SUBJECT OF THE EMAIL: Guest services: Guest name Accom #
STEP 2: After receiving guest confirmation, follow Travel Hokkaido booking procedure:

TRAVEL HOKKAIDO TRACKING SHEET
After submitting request double check the details on Travel Hokkaido tracking sheet. Monitor from time to time if the vendor confirmed the booking on the tracking sheet.
STEP 3: Once vendor confirmed booking, go to roomboss> open guest booking> Booking status section>edit> add accommodation ID on Custom ID field and select TRF PVT on Segment field> flip order type from REQUEST to RESERVATION> save
STEP 4: go to Financials tab> INVOICE AND RECEIPTS section> Click Edit> Select new transaction
STEP 5: Fill up invoice details:
Invoice ID: accom id-
Invoice amount: (should be the same amount showing on guest service price on package overview
Due date: Due date should be set to 24 hrs. Due date is current process please check with GE team for updated process
Notes: Vendor/GS booked (i.e Travel Hokkaido Private transfer)
STEP 6: Send email canned response to guest> Invoice- payment request all arrivals
STEP 7: Go to Travel Hokkaido tab> notes section > add note :
