PRIVATE TRANSFER: MARK ONE PROCESS

NOTE: ALWAYS CROSS CHECK WITH SHAREPOINT IF INFORMATION IS STILL UP TO DATE


We receive booking request on email as shown on the image below


Click the booking URL: Access booking in Roomboss 


Check the following order details:
1. 
Date - check if booking is aligned with stay dates

2. Item- this will show the route of the transfer

3. DetailsVehicle type- capacity should match the # of guest 

    Arrival flight No. & time- check the flight details on this website: https://www.flightview.com/TravelTools/default.asp (Make sure that the flight arrival time matches with the arrival time submitted by guest, otherwise edit the details and update the arrival time)

Departure timecheck if guest indicated the departure time, otherwise add the allotted time to flight arrival time. See details below:

Arrival Private Transfer Hours

Domestic Arrival: 30 mins Immigration and luggage procedure allotment

International Arrival: 1 hour (45 mins. allowance + 15 mins.) Immigration and luggage procedure allotment



Departure Private Transfer Hours

Domestic Departure: 4 hours (3 hours journey + 1 immigration procedure) allotment in weather/traffic conditions

International Departure: 5 hours (3 hours journey + 2 immigration procedure) allotment in weather/traffic conditions


STEP 1: SEND EMAIL CONFIRMATION TO GUEST IF THEY WOULD LIKE TO PROCEED WITH THE BOOKING WE RECEIVED (EMAIL TEMPLATE LOCATION WILL BE UPDATED)
STEP 2: After receiving guest confimation follow roomboss booking procedure

Roomboss Booking Procedure:

1. Go to Accom booking>Add To Package>Order with New UI>Continue



2. Choose MARK ONE STYLE Vendor(under TRANSPORTATION  AND TOURS)


3. Select ORIGIN AND DESTINATION



Selection Summary will appear>Click select


4. Input booking details on MARK ONE PRIVATE TRANSFER tab  (check vendor sell price below/+20% NET price)> Click add to shopping cart> Double-check the booking details>Order

NOTE:SELL PRICE CAN BE FOUND AT THE BOTTOM OF THIS DOCUMENT

5. On MARK ONE STYLE TAB> Booking status section> Edit > on Custom ID box put accomodation ID> on segment box select TRF-PVT> save



6.Go back MARK ONE PRIVATE transfer tab>Order details section> click edit> change sell price to 0> save



Then on booking status status, change the status to CANCELLED. Once MarkOne private transfer is cancelled, you can remove to package.
We cancel the mark one private transfer booking and create mark one style because vendor is unable to get booking notification for mark one private transfer.


you can remove to package by clicking the yellow box with red (-) on the side of the booking to separate from package




Package overview will now reflect like the image below:
INTERNAL STATUS means waiting for vendor confirmation

Go back to freshdesk email notification that you received and close the ticket 




Once vendor confirmed the booking, we will receive another notification (this email notification can be closed)

 when you click the access booking in roomboss, it will show RESERVATION STATUS




When booking has been confirmed by vendor > go to Financials tab> INVOICE AND RECEIPTS section> Click  Edit 
Select new transaction


Fill up invoice details: 

Invoice ID: booking ID of the guest service booked
Invoice amount: should be the same amount showing on guest service price on  package overview
Due date:(if guest service booked is within 16 days or below before arrival due date should be set to 24 hrs. Otherwise, set the due date to 1 week from invoice date). 
Notes:Guest service booked 


Send email canned response to guest>GUESTS SERVICES FOLDER> Invoice- payment request all arrivals
